Vera is an AI-powered personal memory and life intelligence application operated by SooNet Inc. Vera is designed to help users organize, understand, search, and ask questions about their personal information across connected services such as email, calendar, contacts, documents, orders, bookings, travel, financial information, and other personal data sources that a user chooses to connect.

We understand that Vera may process highly personal and sensitive information. This Privacy Policy explains what information we collect, how we use it, how we protect it, when it may be shared, and what choices you have regarding your information.

By using Vera, you agree to the collection and use of information described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use Vera.

1. Information We Collect

1.1 Account Information

When you create or use a Vera account, we may collect information such as your name, email address, login credentials, authentication information, profile information, preferences, settings, subscription status, and other information you provide directly.

1.2 Connected Account Data

Vera may allow you to connect third-party services. Depending on the permissions you grant, Vera may access, process, organize, and analyze information from those connected accounts. This may include, but is not limited to:

  • Email messages, senders, recipients, timestamps, subjects, snippets, attachments, labels, and metadata
  • Calendar events, appointments, meetings, reminders, locations, attendees, and event metadata
  • Contacts, names, phone numbers, email addresses, relationship labels, and related metadata
  • Documents, PDFs, files, images, receipts, invoices, statements, and extracted text
  • Orders, purchases, returns, refunds, shipping information, merchants, tracking numbers, and item details
  • Bookings, reservations, travel plans, flights, hotels, appointments, tickets, and confirmations
  • Financial records that you choose to connect or upload, such as transactions, recurring expenses, bills, subscriptions, and account-related metadata
  • Health-related information only if you choose to upload, connect, or otherwise provide such data
  • Legal, education, career, identity, asset, and other personal records that you choose to provide or connect

1.3 User-Provided Content

We collect information that you enter into Vera, including questions, prompts, notes, feedback, uploaded files, manually entered records, profile updates, and any other content you choose to provide.

1.4 Device and Usage Information

We may collect technical information about how you access and use Vera, including your device type, operating system, browser type, app version, IP address, log data, session information, crash reports, performance data, feature usage, and diagnostic information.

1.5 Cookies and Similar Technologies

Vera uses secure, HttpOnly cookies to maintain browser authentication and protected device credential storage for mobile authentication. Browser scripts cannot read Vera's bearer or refresh credentials. Local storage may be used for non-sensitive preferences, but not for authentication credentials. Vera may also use device identifiers and similar technologies to improve security, understand usage, and improve the product experience.

2. How We Use Your Information

We use your information to operate, improve, protect, and personalize Vera, including to:

  • Create, authenticate, and manage your account
  • Connect and sync data from services you authorize
  • Organize your personal information into a private life graph
  • Answer your questions using your connected and uploaded data
  • Search, summarize, classify, extract, and structure your information
  • Detect patterns, timelines, recurring expenses, reminders, commitments, and personal insights
  • Provide document intelligence, order intelligence, relationship insights, financial insights, and other life intelligence features
  • Personalize your Vera experience based on your preferences and data
  • Maintain security, prevent abuse, debug issues, and improve reliability
  • Respond to support requests and user inquiries
  • Comply with legal obligations and enforce our terms

3. AI Processing and Automated Analysis

Vera uses artificial intelligence and automated processing to help understand and organize your information. This may include classification, summarization, entity extraction, pattern detection, semantic search, document parsing, and question answering.

Private content from connected sources is restricted to Vera-controlled processing infrastructure. Vera's model execution boundary rejects attempts to send that source content to public or third-party inference endpoints. Other limited user-provided inputs may be processed by service providers acting on Vera's behalf only when needed to provide the requested feature and subject to applicable contractual and security controls.

Vera does not use your private connected-source content to train or improve generalized models for other users. Product improvement uses deterministic metrics, reviewed feedback, or aggregated and de-identified information where possible.

AI-generated outputs may not always be accurate, complete, or up to date. Vera is intended to assist you, but it should not be used as the only source of truth for important decisions. You should independently verify important information, especially information related to health, finance, legal matters, travel, identity documents, or other sensitive areas.

4. Your Connected Services

Vera only accesses third-party services when you authorize the connection. The specific information Vera can access depends on the permissions granted by you and the connected provider.

You may disconnect connected services at any time through Vera or through the third-party provider's account settings. After disconnection, Vera will stop syncing new data from that source. Previously synced data may remain in Vera unless you delete it or request deletion.

5. Google User Data

This section applies specifically to information Vera receives from Google APIs ("Google User Data"). It explains how Vera accesses, uses, stores, shares, and deletes that information.

Google API Limited Use

Vera's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5.1 What Vera Accesses

Vera accesses Google User Data only after you choose to connect a Google account, complete Google's authorization flow, and grant the permissions shown on the Google consent screen. Vera currently uses read-only access for connected Gmail and Google Drive features.

  • Gmail: message bodies, headers, sender and recipient information, subjects, timestamps, labels, attachments, snippets, and thread metadata needed to make your email history searchable and useful inside Vera.
  • Google Drive: file and folder metadata and the content of files you can access, as needed to search, extract, organize, and answer questions about those files inside Vera.

Vera does not use your Google credentials to access information outside the permissions you granted. If Vera introduces another Google integration, the Google consent screen will identify the requested permission before access is granted.

5.2 How Vera Uses Google User Data

Vera uses Google User Data only to provide or improve prominent user-facing features that you request. These features include synchronizing connected sources, searching your history, extracting and organizing information, identifying relevant records, generating source-backed answers, and showing personal insights, citations, and supporting documents.

Vera does not use Google User Data for advertising, retargeting, determining creditworthiness, lending, selling information, or creating a database for an unrelated purpose.

5.3 AI Processing and Model Training

Vera uses self-hosted AI models operating within Vera-controlled infrastructure to provide user-requested features such as search, extraction, organization, and answers based on the user's connected data. Google User Data is not transmitted to model publishers or public or third-party AI inference services and is not used to train, fine-tune, or improve generalized artificial intelligence or machine-learning models.

5.4 How Vera Stores and Protects Google User Data

Vera may store synchronized Google content, file metadata, extracted text, search indexes, structured records, and encrypted authorization tokens in Vera-controlled systems for as long as needed to provide the connected features you request. Vera protects this data with safeguards that include encryption in transit, encryption of connector credentials, access controls, authentication controls, and monitoring.

Google User Data is retained only for the purposes described here, while your account or connected feature remains active, or for a limited period needed for backups, security, legal compliance, and deletion processing.

5.5 How Vera Shares or Transfers Google User Data

Vera does not sell Google User Data, share it with advertising platforms or data brokers, or transfer it to model publishers or third-party AI inference services. Vera may allow infrastructure and security providers acting on SooNet's behalf to process the minimum information necessary to operate, secure, and support the user-facing features you request. Those providers are contractually restricted to processing the information for those purposes.

Vera may otherwise disclose Google User Data only with your consent, when necessary for security, when required by applicable law, or as otherwise permitted by the Google API Services User Data Policy. Any transfer associated with a merger, acquisition, or sale of assets will follow Google's applicable consent requirements.

5.6 Your Controls, Retention, and Deletion

You can disconnect a Google source in Vera or revoke Vera's access from your Google Account. Disconnecting stops future synchronization. You may delete previously synchronized data using available Vera controls, delete your Vera account, or request deletion by emailing soonet@soonetinc.com. Deletion from active systems is completed within a reasonable period, subject to the limited backup, security, and legal retention described in Section 8.

SooNet personnel do not read Google User Data except with your affirmative permission for support, when necessary to investigate security or abuse, when required by law, or when otherwise permitted by Google's Limited Use requirements.

6. How We Share Information

We do not sell your personal information. We do not sell your connected account data. We do not use your private life data for advertising.

We may share limited information in the following circumstances:

  • Service Providers: We may share information with vendors who help us operate Vera, such as cloud hosting, authentication, database infrastructure, analytics, error monitoring, payment processing, customer support, and security tools.
  • Legal Compliance: We may disclose information if required by law, subpoena, court order, legal process, or government request.
  • Protection and Security: We may disclose information to protect the rights, safety, security, and integrity of Vera, SooNet Inc, our users, or others.
  • Business Transfers: If SooNet Inc is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction, subject to appropriate protections.
  • With Your Consent: We may share information when you instruct us to do so or give us permission.

7. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information from unauthorized access, loss, misuse, disclosure, alteration, or destruction.

These safeguards may include:

  • Encryption in transit
  • Encryption at rest where appropriate
  • Encrypted connected-service credentials with key rotation support
  • HttpOnly browser authentication cookies and protected mobile credential storage
  • Access controls
  • Authentication protections
  • Automatic credential and personal-data redaction at the logging boundary
  • Security reviews
  • Limited internal access to user data

However, no method of transmission or storage is completely secure. We cannot guarantee absolute security of your information.

8. Data Retention

We retain personal information for as long as necessary to provide Vera, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, and improve security.

If you delete your account or request deletion, we will delete or anonymize your active database records and queue deletion of associated stored files. Deletion requests are durable and retried if an object-storage provider is temporarily unavailable. Limited non-content security or legal records and encrypted backups may remain only for their applicable retention period, after which they are deleted or rendered inaccessible, unless a longer period is required by law.

9. Your Privacy Choices

Depending on your location and applicable law, you may have the right to:

  • Access your personal information
  • Correct inaccurate information
  • Delete your personal information
  • Export or receive a copy of your information
  • Disconnect third-party integrations
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Delete your Vera account

10. User Control and Data Deletion

Vera is designed to give users control over their data. You may delete certain records, disconnect services, or request account deletion. Once deleted, some information may remain temporarily in backups or logs before being permanently removed according to our retention practices.

Account export and account deletion require recent authentication. Account deletion revokes active sessions, removes user-linked database records, and creates durable deletion work for files and source payloads stored outside the database.

11. Sensitive Information

Vera may process sensitive information if you choose to provide or connect it. This may include financial information, health-related records, legal documents, identity records, travel documents, personal communications, and relationship information.

You should only connect or upload information that you are comfortable allowing Vera to process for the purpose of providing its features.

12. Payments and Subscriptions

If Vera offers paid features, payment information may be processed by third-party payment providers. We do not store full payment card numbers unless explicitly stated. Payment providers may collect and process payment information according to their own privacy policies.

13. Analytics and Product Improvement

We may collect limited analytics and usage information to understand how Vera is used, identify bugs, improve performance, develop new features, and improve the user experience.

Where possible, we try to use aggregated or de-identified information for analytics and improvement purposes.

This section does not permit Vera to use Google User Data to train, fine-tune, or improve generalized AI or machine-learning models. Google User Data remains subject to the specific restrictions in Section 5.

14. Communications

We may send you service-related communications, such as account notices, security alerts, support messages, product updates, and policy changes. We may also send marketing communications where permitted by law. You may opt out of marketing emails, but you may still receive important service-related messages.

15. Children’s Privacy

Vera is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take reasonable steps to delete it.

16. International Users

If you access Vera from outside the United States, your information may be processed and stored in the United States or other countries where our service providers operate. These countries may have data protection laws different from those in your location.

17. Third-Party Links and Services

Vera may contain links to third-party websites, services, or integrations. We are not responsible for the privacy practices, security, or content of third-party services. Your use of third-party services is subject to their own terms and privacy policies.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may notify you by email, through Vera, or by another reasonable method. The updated policy will be effective when posted unless otherwise stated.
